School ERP setup
A school ERP implementation checklist before going live
Choosing software is one part of an ERP project. The next part is agreeing which records, settings and responsibilities must be ready before people rely on it. Use this checklist to plan a school-specific rollout instead of assuming that every school can follow the same timetable.
1. Decide what the first phase includes
List the workflows that must be ready first and identify an owner for each: admissions, student records, fees, attendance or examinations. Agree which reports will be used to check the results. Additional modules can be planned separately when the school is ready.
Choose a review period that fits the academic calendar and the availability of the people who will verify records. Request an implementation plan from the team rather than assuming an immediate or fixed-duration rollout.
2. Prepare and validate the records
Check class and section names, student identifiers, contact information and staff details. Resolve duplicate or incomplete records before an agreed import. Confirm the supported format, the records included and the person responsible for reviewing the result.
Use fictional sample records in a demonstration. For real student or staff data, agree the appropriate transfer and access process with the implementation team. Keep the original records available for reconciliation and retain them under the school's own policy.
3. Review roles and configuration
Map office, accounts, teacher and administrator responsibilities to the available access controls. Check the academic session, fee structures, class/section mappings, exams and component limits that apply to your school.
For fee setup, agree which opening figures or outstanding amounts are being carried forward and how they will be checked. For marks and report cards, review the assessment format using sample results before preparing a full batch.
4. Pilot complete workflows
Follow one sample student through the workflows included in the first phase. Review a fee receipt and balance, an attendance entry, and a marks/report-card example where applicable. Include an exception such as an absence or a pending payment.
Record discrepancies with the expected result and the actual result. Ask the responsible staff member to review corrections and confirm the reports they will use after go-live.
5. Agree go-live and support responsibilities
Before go-live, identify who can approve the configuration, who staff contact for help and how unresolved issues will be tracked. Confirm what records will be checked immediately after the first live collection or academic workflow.
Ask about backup, export, maintenance and support arrangements for your selected deployment. After the initial rollout, review recurring exceptions with the team and plan any additional modules using the same preparation and verification process.
