A visitor pass is a record to verify, not permission by itself

A QR code can help the security desk find a pass quickly. The important decisions still belong to the school's people and procedures: checking identity, confirming approvals and recording what happened at the gate.

Collect the details needed for the visit

Confirm the visitor's name, contact details, purpose and the person or authority they need to meet. Follow the school's photo and identity-verification procedure. The record should help the gate team distinguish the person present from someone holding a forwarded image of a pass.

Keep the reason for access clear. Visitor entry and student departure are different workflows; one should not be assumed to authorize the other.

Verify the live record at the gate

Open the pass and review its current status and validity window. Compare the person present with the recorded identity details and photo. A screenshot, notification or successful scan alone should not replace these checks.

In Shikshaware Gate Pass Management, scanning opens the record for review. A separate authorized action records the movement. If camera permission is unavailable, the security desk can use the pass number to find the record.

Keep student departure decisions separate

A student's departure may require school approval and the required guardian consent or verified-parent procedure. Staff should check the student and accompanying adult, not rely on an earlier visitor approval to cover both.

If a required verification or approval is missing, hold the departure and contact the responsible office. The software record supports the school's decision process; it does not replace that process.

Record the exit and review open visits

An entry record without an exit leaves an incomplete picture of who is on campus. Review visitors still marked inside and record actual exits through the authorized workflow. Do not fill in a guessed departure time simply to clear a list.

Shikshaware's visitor report includes contact information and recorded in/out times in IST for the selected period, subject to the user's existing permissions. Overnight visits and unentered requests are handled explicitly, so a missing movement remains visible as Not recorded.
