Closing the fee counter: a practical reconciliation checklist

A busy collection day can end with several different numbers: the total on receipts, the money received through each payment method, and the amount that still appears due. Reconciliation is the work of making those records understandable together.

Start with a clearly defined period

Choose the date and academic session you are reviewing. Check that staff are using the same reporting period and understand whether a report groups records by collection date or another date field. Mixing periods can make a correct transaction look missing.

Keep the student record, receipt reference, amount and payment method available when investigating a difference. A name alone is a weak reference when several students share it.

Separate a payment message from a payment record

For online payments, a parent's screenshot or a gateway notification is a starting point for investigation, not a substitute for checking the recorded status. Review the relevant payment details before treating an amount as collected or asking the parent to retry.

If a result remains pending, follow the school's approved verification process. Avoid creating a second manual collection simply to make a report match a screenshot; that can make later reconciliation harder.

Review collections and dues separately

Use a collection summary to understand the day's recorded receipts. Use the outstanding report to understand what remains unpaid. The two reports answer different questions, so their totals should not be expected to mean the same thing.

Check regular and non-monthly charges where applicable. Transport, hostel mapping or other configured fees can explain why two students in the same class have different balances.

Close with an exception list

Write down unresolved references, who will review them and what evidence is still needed. A short, specific exception list is more useful than carrying an unexplained difference into the next day.

Shikshaware includes fee collection, receipts, student fee history, outstanding reports and daily or monthly summaries. The school's accounts team should confirm its reporting and verification process during setup, using its own fee categories and responsibilities.
